Overview

This page explains data export and deletion for the ActiveLead platform. ActiveLead is a product by LeadCRM. (the "Service"). Throughout this page, "LeadCRM", "we", "us", and "our" refer to the operator of the Service.

You own your data. This page explains how to export your data and what happens when you delete your account. We believe in transparency about data handling and retention.

1. Exporting Your Data

You can export all your data at any time, free of charge. This gives you a complete copy of your information in a portable format.

1.1 How to Export

  1. Log in to your ActiveLead account
  2. Go to Account → Delete Account tab
  3. Click the "Export CSV" button
  4. Your browser will download a CSV file containing all your data

1.2 What's Included in the Export

The CSV export includes all lead details. Specifically, for each lead it includes:

  • Lead Information: Name, email, phone, status, priority, value, source
  • Next Action: Next action title and due date
  • Status Information: Archived status (Yes/No)
  • Tags: All tags associated with the lead
  • Client Information: Client name, email, and phone (may be same as lead if not separated)
  • Notes: All notes with timestamps and author information
  • Timestamps: Creation and update dates

Note: We recommend exporting your data periodically as a backup in case you lose access to your account, encounter technical issues, or in the event of service shutdown. Regular backups help ensure you always have a copy of your important lead information.

1.3 Using Your Exported Data

The CSV file can be opened in Excel, Google Sheets, or any spreadsheet application. You can use it to:

  • Create backups of your information
  • Import into other CRM systems
  • Analyze your data using spreadsheet tools
  • Comply with data portability requirements

Note: Currently, ActiveLead does not support bulk CSV import. The export format can serve as a template if import functionality is added in the future.

2. Deleting Your Account

You can delete your account and all associated data at any time. This action is permanent and cannot be undone.

2.1 Deletion Process

Before deleting, you must:

  1. Export your data (required) - We require you to export your data before deletion to ensure you have a backup
  2. Confirm deletion - Click "Delete My Account" and enter your password to confirm

Once confirmed, the deletion process automatically:

  • Cancels any active Stripe subscriptions to prevent future charges
  • Deletes all your leads and associated data from our data storage service (Google Cloud Services)
  • Deletes your user document and account information from our systems
  • Deletes your authentication account

2.2 What Gets Deleted

The following data is permanently deleted from our systems:

  • All leads/jobs: Complete records including contact info, notes, and history
  • User account: Your profile, email, display name, and preferences
  • Authentication: Your login credentials and authentication tokens
  • Account settings: All preferences, currency settings, and terminology choices

2.3 What May Remain

Some data may remain in systems outside our direct control or for operational/legal reasons:

  • Stripe customer records: Stripe retains customer and billing information per their data retention policies. This includes billing history, invoices, and payment methods. You can request deletion of your Stripe data by contacting Stripe directly or through their Privacy Policy.
  • Webhook event logs: System logs of Stripe webhook events may contain references to your user ID for audit and debugging purposes. These are typically retained for a limited time.
  • Firebase audit logs: Authentication and security logs may be retained by Firebase (Google Cloud Platform) for security and compliance purposes per their retention policies.
  • Backup systems: Data may exist in backup systems for a limited retention period before being permanently purged.

Important: While we delete your data from our active systems, third-party providers (Stripe, Firebase) may retain data according to their own policies and legal requirements. This is standard practice for SaaS applications and is outside our direct control. See our Service Providers page for details about these providers.

3. GDPR Rights (EU Users)

If you are located in the European Economic Area (EEA), you have specific rights under the General Data Protection Regulation (GDPR):

3.1 Right to Access

You can export your data at any time using the export functionality described above. This provides you with a complete copy of your personal data.

3.2 Right to Erasure ("Right to be Forgotten")

You can delete your account at any time, which will delete your personal data from our systems as described above. Note that some data may remain in third-party systems (Stripe, Firebase) per their retention policies.

3.3 Right to Data Portability

The CSV export provides your data in a portable, machine-readable format that you can use with other services or systems.

3.4 Exercising Your Rights

To exercise your GDPR rights, you can:

  • Use the built-in export and delete functionality in your Account settings
  • Contact us at info@activelead.app for assistance

4. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account, we delete your data as described above.

We may retain certain information for longer periods when required by law, to resolve disputes, enforce our agreements, or for legitimate business purposes (such as preventing fraud).

5. Third-Party Data Requests

If you have deleted your account but third-party providers (like Stripe) still retain your data, you may need to contact them directly to request deletion:

  • Stripe: Contact Stripe support or review their Privacy Policy for data deletion procedures
  • Firebase/Google Cloud: Data deletion is handled automatically when you delete your account through our Service
